Welcome to the information on the data privacy guidelines of The Cotswold Assistant Limited (‘TCA’ or ‘we’ or ‘us’ herein).

TCA has always followed this procedure (we know you would expect nothing less!) however due to recent GDPR implementation we’re spelling it out on our website for the world to see.

We are compliant in handling the information you share with us and here is what we do in a little more detail:

Personal data collected

We collect your name(s) so that we can have an ongoing dialogue, we collect your email address so that we can correspond with you, and we collect your phone number(s) so that we can call you if we need to get hold of you i.e. returning your calls, asking an important question about your project, etc.  We also collect your postal address so that we can add this information to invoices and any postal correspondence if required but this would only be once a service agreement is completed.

All of this is necessary for us to do our job.

How TCA collects and keeps your personal data

If you contacted TCA via the contact form on the website, this pings into our main email inbox which is accessed via a secure password and 2FA. When you book our services, your email will be stored in the client database which is only accessible through one computer. If you enquire but don’t book our services (you’ll be missing out if you don’t!) we will delete all your data from the client database after the appropriate period has ended.

How TCA uses cookies

Unfortunately not the edible kind! A cookie in this instance is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences. TCA use traffic log cookies to identify which pages are being used. This helps us to analyse information about web page traffic and improve our website in order to tailor it to Client needs. This information is only used for statistical analysis purposes and then the data is removed from the system.

Cookies help TCA to provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives me access to your computer or any information about you, other than the data you choose to share with me. You can of course choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the website.

Links to other websites

The TCA website may contain links to other websites of interest. However, once you have used these links to leave the TCA website, you should note that we do not have any control over that other website. Therefore, you alone are responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Right of confirmation, access, rectification and erasure

To be serious for a moment, if you do have any questions about how your personal data is handled please do just send TCA an email and we will explain how it all works and our process. We are more than happy to show you the information we hold on you and you will be unsurprised to know that it is only information you have given me willingly.

If however any of said data is incorrect and you would like to correct it we can also sort that out.  If you’d like us to delete all your personal data held with TCA, you have the right to request it.

Use of your data

So to summarise; TCA will use your email to respond to your enquiry and any services booked thereafter. There may be an occasion when I would email you about something non-related to our scope of services booked i.e. I remembered from our in person conversations that you love sushi and a new restaurant has opened locally.

We do not share our Client’s information with any third parties.

The questionnaire you fill in on the contact page which asks for information about your enquiry brief comes directly to our main email inbox. Essentially all information you provide is voluntary.

Social media

TCA will be active on social media when we have interesting things to share! That’s probably how you found us. We like to show off our work and helpful tips. It all helps with the SEO for the business. This is covered in our contracts however please be reassured that we will never share identifiable information about our Clients.

TCA love what we do and we cherish our relationships with our Clients putting trustworthiness and reliability first.
